Within the Energy team, as a Project Controller/Secretary to Director of Engineering & Operations:
Your responsibilities
The Project controller / Secretary is responsible for a wide range of project control and administrative support ranging from the preparation of various monthly financial reports, invoicing, budget tracking, coordination of projects, coordination of information flow within the department, ensuring accurate and timely delivery of senior level administrative services and providing support and direction on appropriate courses of action for Toronto office employees.
- Provide timely and accurate project controls reporting and communication to management;
- Develop key performance indicators (KPI) and compare current milestone progress vs project expenses;
- Prepare, review and update weekly and monthly project progress reports and advise management for any issues;
- Prepare, coordinate, monitor and review project proposals, project progress reports, monthly departmental project invoice tracking/forecast, changes notices, departmental performance reports, etc.;
- Follow up with clients' accounts receivable and payable while working in coordination with internal finance;
- Responsible of project opening, monitoring, closing and the associated related activities;
- Prepare various administrative report;
- Collect, review, and analyze data or information to support the department's activities;
- Prepare documentation and correspondence, agendas and reports and gathers background materials;
- Drafts and/or participates in the preparation of technical estimations, various reports (letters, memos, etc.);
- Any other administrative tasks related to the department day to day activities.
Your profile
- Post-secondary education in relevant field or equivalent education and experience;
- Minimum of 3-5 years’ experience in a multidiscipline engineering consulting firm;
- Thorough knowledge of Microsoft Office Suite;
- Experience writing technical reports;
- Experience in financial reporting and forecasting;
- Experience in drafting invitations for tender, proposals and knowledge of the ISO 9001:2000 norm (asset);
- Knowledgeable of MS Project (asset);
- Ability to maintain a consistent professional working attitude with internal staff and external stakeholders and maintain confidentiality at all times;
- Strong organizational skills with an ability to prioritize, using your judgment in establishing priorities, multi-tasking and handling competing deadlines;
- Experience working for an electrical engineering consulting environment (asset);
- Excellent oral and written communication skills;
- Bilingualism would be major asset (English & French).
